Travel Booking Terms and Conditions

By making a deposit payment for your Classic Vacations® vacation, you acknowledge and agree to the terms and conditions set forth below.

Reservations: Contact your Travel Agent.

Payments: For all bookings made 45 days or more prior to departure, a deposit of $150 per person is required by Classic Vacations (“Classic”) within 5 days of making your reservation unless otherwise noted. If your deposit is not received by Classic within 5 days or by specified option date, your booking will be automatically canceled. Final payment is due 45 days prior to departure. Full payment is due immediately for bookings made within 45 days of departure unless otherwise noted. Hotels may require full payment at time of booking for high-demand periods. Villas and Yachts require a 50% deposit at time of booking. Some published airfares may require full payment and immediate ticketing.

Prices: Prices are subject to change without notice. Prices listed are per room/double occupancy. All applicable taxes are included in the price of the vacation. Fees or other charges such as surcharges or taxes imposed by the airline after your vacation purchase (if any), however, will be your responsibility. Some airport departure fees may not be included and must be paid directly to the airline.

Not Included: Gratuities, meals (except where otherwise noted), telephone calls, airport departure fees, resort fees, local driver’s license fees, car seats, gas, parking, rental-car overtime fees, some airport departure taxes, and any other items of a personal nature.

Price Protection: All bookings are price-protected upon receipt of deposit by Classic and purchase of the Travel Smart Plan program ™, or when full payment is received for the entire booking prior to any price changes. Tax changes, surcharges and consumer-initiated changes are not price-protected.

Last-Minute Bookings: Classic accepts last-minute reservations, provided space is available and full payment has been received. There are no last-minute booking fees. Express-mail charges may apply.

Minimum Stays: The length of stay required varies by property, season, and airline tariff. Your Travel Specialist can obtain the details from Classic at the time of booking.

Forms of Payment: Payment may be made by agency check or American Express, Diners Club, Discover Card, MasterCard, Optima, or Visa credit card. Returned checks are subject to a $35 service charge.

Protection of Funds: Classic is registered as a Seller of Travel with the Attorney General of the State of California pursuant to Section 17550 of the California Business and Professions Code, under registration #2079429-50. Registration as a seller of travel does not constitute approval by the State of California.

USTOA $1 Million Consumer Protection Plan: Classic Vacations, as an Active Member of the United States Tour Operators Association (“USTOA”), is required to post $1 million with USTOA to be used to reimburse, in accordance with the terms and conditions of the USTOA Consumer Protection Plan, the advance payments of Classic Vacations customers in the unlikely event of Classic Vacations’ bankruptcy or insolvency. Change & Cancellation Fees: A handling fee of $50 per adult will be charged by Classic for all passenger-initiated changes or cancellations made after receipt of deposit up to thirty-one (31) days before departure. A fee of $100 per adult will be charged by Classic for all passenger-initiated changes or cancellations made 30 days or less prior to travel. Carrier, property, and provider change and cancellation policies vary. Hotels and condominiums may charge a fee. Villas may charge the full amount regardless of cancellation date. Airlines may charge significant change and cancellation fees, which vary by carrier. Name changes are treated as a cancellation and all cancellation fees apply. Once travel has commenced, any changes or cancellation will be at the expense of the passenger unless The Travel Smart Plan program has been purchased. To avoid many of these charges, ask for the Travel Smart Plan program.

Travel Smart Plan program: With the Travel Smart Plan program, we will waive Classic’s standard fees, which are described above. Travelers 17 years of age and younger are covered at no additional cost when all adults in your traveling party purchase the Travel Smart Plan program. The Travel Smart Plan program must be purchased at time of booking and is not refundable. Below is a brief description of the benefits. Please refer to the Description of Coverage for complete plan details, including coverage exclusions and limitations.

SECTION I: Provided by Classic

The Travel Smart Plan program covers (certain exclusions and limitations may apply):

Pre-Travel & During Travel

With the purchase of the waiver, you are covered for:

  • Hotel, air, and rental-car price increases (unless you make a change that results in a higher price and subject to the restrictions below)
  • Airline change or cancellation penalties (a maximum of two changes are allowed on published air or other restricted fares, per person per booking)
  • Hotel change or cancellation fees, with some exceptions
  • Tours and Activities Change or cancellation fees if canceled 24 hours prior to scheduled use
  • Classic Vacations’ change or cancellation fees prior to travel for any reason, except for restrictions noted below
  • If you return early from your vacation, Classic Vacations will refund all unused hotel and car rental components originally purchased through Classic Vacations, if minimum stay requirements have been met

SECTION II

The Travel Smart Plan program includes insurance coverage whose benefits are administered by Travel Guard International on behalf of National Union Fire Insurance Company of Pittsburgh, PA. Certain exclusions and limitations apply and are detailed in the Description of Coverage. This plan is valid only if the appropriate plan cost has been paid at the time of booking. This is a comprehensive travel insurance plan including trip cancellation/interruption coverage, travel delay coverage, medical coverage, medical evacuation, accidental death, lost, stolen or delayed baggage and emergency travel services. For complete details regarding coverage, including exclusions and limitations, please refer to the Description of Coverage included with your final travel documents.

What is not covered:

Price increases and/or changes or cancellations due to:

  • No shows, missed flights, name changes, lost or stolen tickets
  • Tax increases (including fuel, airline and airport surcharges)
  • Client-initiated changes which result in fare or accommodation cost increases
  • Air routing changes
  • Excess baggage charges
  • Changes in occupancy for shared accommodations (unless a covered reason)
  • Private jet charters, yachts, cruises, and some villas
  • Non-certified documents or denied boarding as a result of inadequate travel documentation or late arrival. Additional documentation may be necessary for layovers and stopovers in countries other than the final destination
  • Denied boarding due to inadequate travel documentation or late arrival
  • Changes that result in the booking not meeting minimum package requirements, which vary by supplier and destination
  • Client initiated requests to change flights provided as a result of a carrier schedule change

Restrictions

No refunds are allowed on unused portions of airline tickets. Once travel has commenced, routing and/or class of services changes are not permitted. A maximum of two changes are allowed on published air and other restricted air fares per person per booking. Tax changes, surcharges, and consumer-initiated changes that result in a higher cost are not price-protected. For refunds on special or weekly rates for accommodations and/or car rentals, the used portion will be charged at regular published daily rates. Name changes will be treated as a cancellation and all cancellation fees will apply. Classic Vacations reserves the right to suspend offering and selling The Travel Smart Plan program at any time.

Refunds: Unused portions of airfare are nonrefundable. Unused portions of your land package (e.g., hotel accommodations, car rentals, tours and activities) will not be refunded for any reason unless The Travel Smart Plan program has been purchased. For changes or cancellations prior to departure, Classic will remit a refund to you or your Travel Agent within 30 days, less the following: (i) Supplier charges for change or cancellation (which vary and may be significant); (ii) Administrative charge by Classic for processing the change or cancellation (unless The Travel Smart Plan program has been purchased); (iii) Nonrefundable airline tickets will not be refunded once ticketed; (iv) Refundable airline tickets must be canceled before ticketed departure date; (v) All ticketing service fees; (vi) All express-mail fees; and (vii) Purchase price of each Travel Smart Plan program.

Air Transportation: All airline tickets are purchased and issued on a round-trip basis. Departure fees are not included. No refunds are allowed on unused portions. Changes to flight itineraries may result in an increased airfare, a carrier-imposed charge or, in some instances, may not be permitted. Once travel has commenced, routing and/or class-of-service changes are not permitted. Additional cancellation fees are assessed by the airline on special fares. Classic passengers are subject to all airline limitations, liabilities, and tariffs. All air carriers booked by Classic shall be liable only as common carriers to Classic passengers. Classic is not responsible for schedule changes or airline strikes. Some airport taxes are to be paid direct. Name changes not allowed. Classic is not responsible for multiple connections due to schedule changes.

Easter & Christmas Reservations: Various hotels, villas and condominiums have special cancellation, change, minimum nights, and refund policies for stays during holiday periods and may not be covered by The Travel Smart Plan program. Deposits for Christmas and Easter bookings are non-refundable. Dates for which this policy applies vary by destination. Contact your Personal Travel Specialist for more information.

Family Plan & Maximum Occupancy: Many hotels and condominiums offer discounts for children when accompanied by full-paying adults. Maximum occupancy may vary when children on family-plan programs are included. Some hotels may not allow children or restrict children of certain ages. Some airlines offer children’s rates.

Entry into other countries: To enter and leave Mexico, the Caribbean, Europe, and Tahiti, all U.S. citizens must carry a valid passport. Non-U.S. citizens should check with the country’s consulate. It is the responsibility of the traveler to determine the proper documents required by the government(s) of the destinations visited at time of travel. Please inquire with your Travel Agent. Classic will issue no refunds to passengers affected by their failure to provide proper documentation.

Family Plan: Many hotels and condominiums offer discounts for children when accompanied by full-paying adults. Maximum occupancy may vary when children on family-plan programs are included. Some hotels may not allow children or restrict children of certain ages. Some airlines offer children’s rates.

Physical Disabilities: Any physical disability requiring special attention, treatment, or facilities must be communicated to Classic at time of booking.

Rental Cars: Car-rental rates reflect unlimited mileage for a 24-hour rental period. Overtime fees are paid direct to the car company by client. Some locations may require a voucher. No refunds will be made on car rentals of less than 24 hours. There will be drop charges assessed for car rentals returned to alternate car-rental stations, to be paid direct to the car company. The renter is responsible for paying direct to the car rental company all charges not covered by Classic’s booking. Car-rental companies require that drivers possess a valid driver’s license and major credit card or leave a cash deposit upon pick-up. Drivers must be at least 25 years of age. Additional drivers must be at least 25 years old. An additional-driver fee may apply and must be paid direct to the car company.

Bedding: Classic will request the bedding desired, although the requested bedding cannot be guaranteed. At some hotels and condominiums there may be an additional charge if a crib or rollaway is required. These charges are payable to the property upon check-out.

Documents: With each booking, Classic Vacations will issue a document wallet. Documents will be released upon receipt of full payment and mailed at least 21 days prior to departure. Documents may be requested earlier if full payment has been received by Classic. Airline tickets are issued with documents in accordance with air-carrier policies.

Classic, as the tour operator, is solely responsible for selecting the suppliers that provide the component parts (hotel accommodations, air transportation, transfers, car rentals, tours and activities, etc.) for the vacations described in this brochure. Classic does not own, control, or operate, nor is it an agent for, any of the suppliers furnishing tour component parts. Therefore, in the absence of its negligence, Classic cannot be held liable for loss or damage to property or injury to persons, caused by reason of any act or omission, intentional, negligent, or otherwise by such third-party suppliers. In addition, Classic will not be liable for any delays, cancellations, strikes, government actions, force-major events, or other causes beyond its direct control. Classic makes no implied or express warranties in the offering of any vacation described in this brochure. Classic will not be liable for any indirect, consequential, or punitive damages. In no event will the liability of Classic or its affiliates exceed the amount paid for travel products booked or purchased from Classic.

General Provisions: This Agreement is governed by the laws of Washington. You hereby consent to the exclusive jurisdiction and venue of the courts in King County, Washington, for all disputes related to your travel from Classic. Classic reserves the right to cancel or alter any itinerary at its sole discretion. The information, rates, and terms and conditions contained on this web-site are subject to change without notice.
